We provide travel agency services for leisure and business travellers to plan and book trips worldwide (the “Services”).

When we say “Client,” we mean a person or entity registered with us to use our Services. When we say “you,” we mean either a Client or someone else using our Services.

An “Operator” is a carefully selected third-party travel provider that we work with as an agent on your behalf to book and supply your travel requirements.

“Personal Information” means any information that identifies or can be used to identify you, directly or indirectly – including, but not limited to, your name, date of birth, email address, gender, occupation, or other demographic information.

A “Distribution List” is a list of Clients and information associated with them, such as email addresses.

This Privacy Policy applies to all forms of communication with us, including via our websites, applications, blogs, social networks, or other online, mobile, or wireless offerings that link to this policy, whether accessed via computer, mobile device, or other technology.

We may update this Privacy Policy at any time. The most recent version is reflected by the date at the bottom of this page. All updates are effective immediately upon notice, which we may give by posting a revised version on our website. We encourage you to review this policy regularly.

4. What information do we collect?

(a) Information you give us voluntarily When you use our Services, speak with our travel advisors, send us an email, or communicate with us in any way, you are voluntarily giving us information we collect. By giving us this information, you consent to it being collected, used, disclosed, transferred to relevant Operators, and stored as described in this policy.

We, partner Operators, and service providers we work with may use your information to:

  • Provide quotes and subsequently deliver our Services once booked.
  • Communicate with you about your enquiries and bookings, and provide customer support.
  • Analyse how you use our Services.

  • Promote our Services to you and others, and suggest additional features you might find useful.
  • Send you informational and promotional content in line with your marketing preferences. You can stop receiving promotional emails at any time by following the unsubscribe link in any email we send.
  • Bill and collect money owed to us, including sending invoices, receipts, and payment reminders. We use third-party payment processors for secure card transactions and share billing information with them solely for this purpose.
  • Protect the rights and safety of our Clients, third parties, and ourselves.

6. When can we use your information?

We collect and use your information in the following circumstances:

7. How long do we keep your information?

We keep your information for as long as necessary to fulfil the purposes described in this policy. As a general rule:

  • Information collected about your use of our Services is kept for the duration of your membership on our marketing Distribution List, or less in some cases depending on the reason for holding it and whether it remains current.
  • Information provided when making a booking, together with any updates, is kept for 3 years from the date of return travel.
8. Who do we share your information with?

We may share your information within the Spear Travels Group. We may also share it with:

(a) Service Providers – Third parties who help us provide and support our Services, such as partner Operators, analytics providers, payment processors, hosting services, content delivery services, and advertising companies. These providers are contractually required to use your information only for the services they provide to us and in a manner consistent with this policy.

(b) Professional advisors – Including solicitors and accountants.

(c) Authorities – Any law enforcement agency, court, regulator, government authority, or other third party where required by law or to protect our rights or the rights of third parties.

(d) Business transfers – Any third party that purchases or takes over all or substantially all of our assets and business. In such circumstances, we will use reasonable efforts to ensure your information is used consistently with this policy.

We will never sell your personal information to third parties.

9. Transferring your information internationally

Your personal information may occasionally be transferred outside of the United Kingdom – for example, where we use IT service providers based overseas.

Any information you submit to us via a social media platform is done at your own risk and without expectation of privacy. We cannot control the actions of other users or the platforms themselves. Your interactions with those platforms are governed by their own privacy policies.

(c) Links to third-party websites – Our websites may link to third-party sites whose privacy practices differ from ours. If you submit personal information to any of those sites, it is governed by their privacy policies. We encourage you to read those policies before submitting any information.

11. Competitions

We may from time to time offer competitions or promotions via our websites or social media. Participation is voluntary. Information requested for entry may include your name, address, date of birth, phone number, and email address. We use this information to administer the promotion and, where permitted by the promotion’s rules, to communicate with you about our Services.

13. Security Breach Notification

We take reasonable and appropriate measures to protect your personal information from loss, misuse, and unauthorised access, disclosure, alteration, and destruction, taking into account the nature of the information and the risks involved.

Our payment processing provider uses industry-standard security measures to protect your information during and after each transaction.

15. We Operate in the United Kingdom

By using our Services, you understand and consent to the collection, storage, processing, and transfer of your information in the United Kingdom and to those third parties described in this policy.

We do our best to keep your data accurate and up to date based on the information you provide. If your details change – for example, a new email address – please notify us. Upon request, we will confirm whether we hold any of your personal information. We will retain your information for as long as needed to provide our Services or to meet our legal obligations.

You may request to access, correct, amend, or delete information we hold by contacting us. Unless prohibited by law, we will remove personal information upon request. There is no charge for accessing or updating your personal information.
